The Practice Manager is responsible for managing clinical operations at Rural Health Group's Henderson and Stovall medical clinics. 

This position works under the direction of the Director of Clinic Services to assure that the practice operates in accordance with the Rural Health Group Mission and Objectives. The Practice Manager works together with clinical teams to provide excellent quality health care.  This is a key administrative position on the management team of the organization, but this is not a nurse manager position. Bachelors degree required.

  • The day-to-day effective and efficient operation of the practice clinical and operations staff
  • Working very closely with the Panel Managers
  • Maintaining productive and efficient clinic flow
  • In addition to managing the operations, responsible for performing front office functions (registration, checkout, medical records) depending upon office needs
  • Supervising support staff
The practice manager is a working manager responsible for conducting other job duties as necessary to ensure smooth patient flow and quality care.


REQUIREMENTS
  • Bachelor’s Degree and experience working in a medical office required.
  • Previous healthcare management preferred.
  • Possess the ability to think clearly to make judgmental decisions in initiating office policy.
  • Possess knowledge of modern office equipment, systems and procedures.
  • Work schedule includes but is not limited to practice hours of operation.  Responsible for ensuring staff coverage of facility during practice extended hours.  Any modification to this schedule must be approved by the Director of Patient & Clinical Services.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals
  • Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of the organization
  • Ability to establish and maintain positive, effective, professional relationships with patients, providers, managers, coworkers, and staff
  • Demonstrated strong leadership skills with subordinates and co-workers.
  • Ability to appropriately prioritize mission-critical activities (i.e., provider and support staffing, staff competency training, etc.)
  • Embraces the team concept; encourages and models healthy, productive team behavior.  Able to motivate the employees within the environment.

Full Job Description

PRIMARY RESPONSIBILITY:

Supervisory responsibilities are carried out effectively, in a timely manner and with sensitivity to this positions direct report. Promote and maintain awareness of RHG programs, services and activities.
 
OPERATIONS MANAGEMENT:
  • Serves as primary contact for human resources, information technology, finance, administration and outside vendors
  • Oversees and meets weekly with site coordinators.
  • Assure staffing levels are appropriate to meet patient needs, including arranging provider and staff coverage for any and all time off requests.
  • Assist in direct provision of clinical care and operational services.
  • Maintains confidentiality in all operations and clinical matters.
  • Responsible for managing and monitoring provider schedules including blocking schedules for provider time off, holidays and other scheduling issues.
  • Responsible for provider coverage, ensuring that the clinics have provider coverage.  All provider time off requests must be reviewed by the regional practice manager and medical director.
  • Notifies patients and staff of office closures and safety issues.
  • Responsible for site, patient and staff safety including reporting all issues as per RHG policy and communicating with staff in a timely manner.
  • Provides administrative oversight and direct supervision of all staff while working with department leads to ensure the effective implementation of patient services.
  • Manages, documents and reports patients and staff complaints in a timely manner according to RHG policy.
  • Assist Medical Director with Provider monitoring and management of provider needs as it relates to clinic operations.
  • Works closely with Director of Clinic Services and Panel manager to ensure staff is properly trained.  Ensures training documents are completed and filed in PolicyTech and HR record.
  • Routinely evaluate staff performance to ensure that it meets RHG guidelines and standards.
  • Conducts performance reviews and performance advices annually on all existing employees.  New employees will receive a 90 day and an annual evaluation based on job description.
  • Assists department leads and HR with evaluation of job descriptions for accuracy and appropriateness for use with training and evaluation.
  • Works with Director of Patient Services and Privacy/Security Officer to ensure corporate compliance and risk management requirements are met and maintained.
  • Works with Safety officer to ensurethat the environment of care meets or exceeds all JCAHO and/or other relevant/appropriate standards, i.e. CLIA.
  • Ensure all clinical records (EHR) are maintained according to agency standards and policies, as well as conduct clinical case reviews in cooperation with the Medical Director, Director of Clinic Services and other members of the management team as necessary.
  • Ensure that all clinical and user data is collected and reported as required by Federal Grant guidelines and RHG policies.
  • Assure equipment is in good working order. Assure that necessary supplies are maintained at efficient levels.
  • Coordinates and maintains a positive professional relationship with all programs, agencies and intra-agency personnel.  Coordinates services of internal and external customers.
  • Assist the Director of Clinic Services, the Safety Officer and HR Director with specified Employee Health activities (TB Testing, Hepatitis Inoculations, etc.)
  • Works closely with Maintenance Supervisory to ensure building and grounds are properly maintained and secured.  Responsible for securing the building, training staff to properly secure building and responding to any alarms.
  • Ensures clinic operations align with RHG mission, vision and values.
 
FISCAL OPERATIONS:
  • Responsible for purchasing.  Completes purchase orders and checks actual invoice/packaging slip with purchase order.  Forwards information to accounting department in a timely manner.
  • Responsible for controlling expenditures within the budget constraints and optimizing revenue.  Responsible for reviewing and approving all clinical expenditures.  Responsible for adhering to approved budgets.  Not authorized to make non-budgeted purchases.
  • Assist RHG with meeting productivity and revenue goals.
 
CLINICAL QUALITY:
  • Works closely with Director of Clinic Services to incorporate quality improvement program in all activities at the site.  Responsible for ensuring Panel Manager collect and analyze data.  Identify problems in either the QA process or results, and take steps to correct problems.
  • Identify problems in QA process using PDSA to document, improve and report findings.  All QA meetings will be documented using the PDSA tool and RHG minute template.  There should be 12 documented PDSA processes and 24 documented minutes in a 12 month period.
